Terms of Service

These Terms of Service ("Terms") govern the provision of video production, live event, podcast studio, and related services by InFocus Media Production ("we", "us", "our") to any client ("you", "your") engaging our services. By booking, instructing, or otherwise engaging us, you agree to these Terms.

1. Our Services

We provide video production services including, but not limited to: public health campaign films, internal communications and training content, live event and conference coverage, patient and staff story films, podcast production and studio hire, technical production management, and content strategy consultancy.

The exact scope of work for any project will be confirmed in writing (via quote, proposal, or booking confirmation) before work begins. Any services not explicitly included in that scope are not covered under the agreed fee.

2. Quotes and Bookings

All quotes are valid for 30 days from the date issued unless otherwise stated.

A booking is only confirmed once a deposit (where applicable) has been received and/or written confirmation has been provided by both parties.

Studio, auditorium, and podcast room bookings are subject to availability and are held only once confirmed as above.

3. Payment Terms

Unless otherwise agreed in writing, a deposit of 50% is required to confirm booking, with the remaining balance due on or before delivery of final content.

Invoices are payable within 14 days of the invoice date.

Late payment may result in a delay to delivery of final assets and may incur a late payment charge.

Studio/auditorium day-rate bookings are payable in full prior to or on the day of the booking, unless a separate agreement is in place.

4. Cancellations and Rescheduling

Cancellations made more than 10 working days before a confirmed shoot or studio booking will receive a full refund of any deposit paid, unless costs have already been incurred on your behalf (e.g. crew, equipment hire, venue costs).

Cancellations made within 10 working days of a confirmed booking may forfeit some or all of the deposit to cover costs already committed. Cancellations made within 48 hours of a confirmed studio or auditorium booking will forfeit the full booking fee.

We reserve the right to reschedule bookings in cases of illness, equipment failure, or circumstances beyond our reasonable control (see Section 9), and will provide as much notice as possible.

5. Delivery Timelines

Standard delivery timelines will be confirmed at the point of booking or quote and depend on the scope of the project.

Rush/expedited turnaround is available at an additional fee where operationally possible.

Delays caused by late provision of information, footage approval, or feedback from the client may extend agreed delivery timelines accordingly.

6. Revisions

Unless otherwise agreed, projects include up to 2 rounds of revisions within the agreed scope of the brief.

Revisions requested beyond this, or changes that go beyond the original brief, may be chargeable at our standard rate.

7. Ownership and Usage Rights

Unless otherwise agreed in writing, final delivered content becomes licensed to the client for the purpose(s) specified at the time of booking.

InFocus Media Production retains ownership of raw footage, project files, and any content not explicitly delivered as final assets.

We reserve the right to use non-sensitive, non-confidential project content for our own portfolio, marketing, and promotional purposes, unless the client requests otherwise in writing (particularly relevant for NHS or confidential healthcare content, where such use will require explicit written client approval).

8. Confidentiality

Given the sensitive nature of much of our healthcare-sector work, we treat all client information, footage, and project materials as confidential by default, and will not share or disclose project details without your consent, except where required by law.

We expect equivalent confidentiality from clients regarding any commercially sensitive information shared with them during the course of a project.

9. Liability

We carry appropriate business insurance and take all reasonable care in the delivery of our services.

We are not liable for delays or failure to deliver services due to circumstances beyond our reasonable control, including but not limited to equipment failure, illness, extreme weather, venue access issues, or other force majeure events.

Our total liability for any claim arising from our services is limited to the total fees paid for the specific project in question.

11. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
